Minutes of the Planning Committee meeting held at 9.30am
on 29th October 2024 in the portacabin adjacent to Hixon Memorial Hall

Agenda Items: the order of the discussion/consideration of items was reversed from agenda order | ||||||||
P010/24 | The Chair attempted to make an opening statement but this prompted discussions on the purpose/need/requirement for this when no members of the public (MOPs) were present. The best layout/order of the agenda and meeting to cover when members of the public are and are not present, together with the presentations, were discussed. It was decided that the Chair would read out a statement only when there were MOPs present. This statement will be read out prior to the start of the meeting and will be taken as read as outside the agenda. A generalised copy of the statement would be placed on the chairs allocated for MOPs to cover any latecomers. The Clerk will display the agenda initially and then display the plans/site plans and any other relevant document (as previously) unless the Committee believes that the planning application is likely to attract attention from MOPs. In this case councillors allowed to be on the Planning Committee will convene informally before the meeting to discuss the best way (e.g. use of bullet points) to present the relevant information to attending MOPs prior to Public Participation, using Councillor’s individual experience/expertise as appropriate. This presentation will be made by the most relevant council member present at the meeting. Following Public Participation (if appropriate), the Committee Councillors will then make a decision as to the Parish Council’s Planning Committee response to the appropriate Planning Authority. The above format for the meetings/agenda going forward was resolved by vote (3:1).The agenda template to be used for future Planning Committee meetings is attached as an appendix. |
